Group Company Transactions

  • Receive purchase orders (POs) from affiliated companies, verify pricing details, and issue corresponding POs to factories.
  • Liaise with key contacts from group companies to ensure smooth coordination and timely execution of orders.
  • Monitor shipment progress, follow up on shipping documentation, and prepare invoices and packing lists.

Accounting

  • Perform data entry and maintain records in the ERP system (SAP).
  • Update accounts receivable (AR) and accounts payable (AP) records in Excel.
  • Prepare and distribute Statements of Account (SOA) to local, overseas, and affiliated company customers.
  • Record incoming and outgoing payments in SAP and reconcile them against AP and AR invoices.
  • Verify bank transactions against SAP records to ensure accuracy and completeness.
  • Maintain and update income and expense reports.
  • Distribute monthly exchange rate listings via email and update exchange rates in Excel and SAP on the last working day of each month.
  • Generate and process AP invoices in SAP.

Monthly Reporting

  • Support monthly reporting activities, including data gathering, report preparation, and basic analysis.

Travel and Expense Management

  • Review travel claims and employee expense reimbursement submissions for accuracy and compliance.

Other Duties

  • Carry out additional administrative and accounting tasks as assigned.

Requirements

  • Experience in administrative support and office operations using Microsoft Office applications.
  • Knowledge of accounting processes and journal entry posting.
  • Proficiency in Microsoft Word and Excel.
  • Strong attention to detail, organizational skills, and ability to handle multiple tasks effectively.
