We are currently seeking a highly organised and adaptable Project & Operations Administrator to support a range of internal business initiatives and operational projects.

Job Description

The Project & Operations Administrator will support day-to-day coordination and execution across multiple business and operational projects. This role requires a proactive individual who is comfortable working in a fast-paced environment with evolving priorities.

The successful candidate will work closely with leadership and internal stakeholders to ensure projects, workflows, and operational tasks are executed effectively and efficiently.

Key Responsibilities

Project Coordination

  • Coordinate and support internal business and operational projects
  • Track timelines, deliverables, and action items to ensure smooth execution
  • Organise meetings, prepare notes, and follow up on outstanding matters
  • Assist with project planning and administrative coordination

Operations Support

  • Provide administrative and operational support across business functions
  • Maintain documentation, reports, schedules, and project records
  • Support workflow coordination and process management activities
  • Assist with ad-hoc operational tasks and business initiatives

Process Improvement

  • Identify operational inefficiencies and suggest practical improvements
  • Support implementation of new workflows, systems, and operational processes
  • Assist in streamlining internal coordination and administrative procedures

Stakeholder Communication

  • Liaise with internal teams and stakeholders to ensure timely communication and follow-up
  • Prepare project summaries, updates, and internal reports where required

Requirements

Minimum Requirements

  • Fluent in English (spoken and written)
  • Based in Singapore with the right to work locally
  • Strong organisational and coordination skills
  • Able to manage multiple tasks and priorities effectively
  • Proactive, detail-oriented, and able to work independently
  • Comfortable working in a fast-paced and dynamic environment

Preferred Skills and Experience

  • Prior internship or working experience in administration, operations, coordination, or project support
  • Familiarity with tools such as Google Workspace, Notion, Airtable, or project management platforms
  • Interest in business operations, workflow optimisation, or technology-driven processes
  • Bilingual abilities in Mandarin, Japanese, or Korean will be an advantage
