To carry the finance function day to day: transactions captured accurately and on time, documentation complete, payments processed cleanly, funds correctly tracked, and records ready for audit. You would work closely with the Deputy Director, who holds budgeting and Board reporting, and with programme leads who own their project budgets.

This is a self-directed role. You would own the close, make the technical judgements and deal with the auditors directly. It is not a processing role with someone checking behind you, and it needs someone who has closed a full set of accounts on their own before.

Core responsibilities

1. Transaction processing and payments

Record income and expenditure in QuickBooks Online, coded to chart of accounts, project, fund and site

Process staff expense claims (approx. 80 to 100 lines per month), checking supporting documents and approvals against the Finance Policy and following up on incomplete submissions

Process supplier invoices (approx. 10 to 20 per month) and payments to part-timers and contractors (10 to 15 per month), within a monthly payment run of up to 30 items

Complete the three-way match against quotation, delivery order and invoice before payment processing

Prepare payment instructions and act as maker in DBS IDEAL, with approvals per the authorisation matrix

Administer petty cash floats and monthly reimbursements

2. Receipts, receivables and records

Record incoming donations and grant receipts, issue acknowledgements and receipts, and maintain donor and grant records

Raise invoices to funders and other payers as required, typically 2 to 3 per quarter, and maintain the accounts receivable ledger

Maintain accounts payable and accounts receivable ageing reports

Maintain accounting records to the five-year retention standard

3. Banking and treasury administration

Perform monthly bank reconciliation

Maintain records of signing authorities

Update the rolling six-month cash flow forecast

4. Month-end and year-end close

Own the monthly close end to end, completed by the 10th calendar day of the following month

Prepare and post judgement entries: accruals, prepayments, revenue recognition on the percentage of completion basis, depreciation and lease accounting

Maintain the fixed asset register

Post payroll journals and allocate payroll costs across projects and funds, from the payroll register provided by HR

Produce monthly management reports: trial balance, profit and loss, balance sheet, actual versus budget, AP and AR ageing

Prepare variance commentary and interpretation alongside the reports, not the figures alone

Own the year-end close, completed by end May

5. Fund accounting and funder reporting

Determine fund classification and the basis on which restrictions are released

Track the release of restrictions as eligible expenditure is incurred

Flag unspent balances on concluded restricted projects as they arise, and advise on treatment

Prepare the Statement of Financial Activities by fund, in CAS format, showing each restricted fund individually with its income, corresponding expenditure and closing balance, for internal and Board use

Prepare funder acquittal schedules and grant reporting to funder timelines

6. Audit, statutory and compliance

Prepare audit schedules and working papers

Act as day-to-day liaison with the external auditors, respond to audit queries directly and post agreed adjustments

Support statutory filings to ACRA, IRAS and the Charity Portal

Apply the Finance Policy, including the authorisation matrix, procurement thresholds and expense claim requirements

Support the periodic fixed asset physical verification

7. Process and advisory

Review, improve and document finance processes rather than only maintaining them

Flag finance risks, funder obligations and cash implications proactively to the Deputy Director

What we are looking for

Essential

Degree or professional qualification (ACCA, CA Singapore, CPA), or substantial equivalent experience

At least 4 years of relevant experience, including full sets of accounts closed independently

Charity or non-profit fund accounting experience. This is a requirement, not a preference. You should be confident handling multiple earmarked grants and funder-specific reporting requirements, and comfortable with the distinction between restricted, designated and unrestricted funds

Able to work with minimal supervision and manage the auditor relationship directly

Sound technical judgement, and willing to document the reasoning behind it

Discretion in handling financial and personal data

Able to explain finance in plain language to non-finance colleagues

Preferred

Familiarity with the Charities Accounting Standard, Commissioner of Charities reporting, or IPC requirements

QuickBooks Online experience
