Job Description:

• Position: Executive Assistant
• Well-established Singapore SME Specialising in Seafood Processing and Distribution
• Salary: Up to $4,000 per month, commensurate with experience
• Working Hours: Monday to Friday, 8:00 AM – 5:30 PM
• Working Location: Jurong Port
• Performance Bonus: Minimum 1 Month Bonus

Main Responsibilities:

• Provide daily administrative, executive and secretarial support to the Director.
• Assist with market development initiatives, business expansion activities and the identification of new business opportunities.
• Manage daily trading and sales administration, including the preparation of quotations, purchase orders and sales orders.
• Prepare meeting minutes, coordinate follow-up actions and monitor outstanding matters as directed by the Director.
• Coordinate business communications, correspondence and documentation with clients, suppliers and business partners.
• Support the coordination of business activities, meetings, appointments and overseas business engagements.
• Assist with administrative coordination and other business-related tasks to facilitate smooth daily operations.
• Perform other ad hoc duties as assigned by the Director.

Requirements:

• Minimum Diploma in Business Administration, Marketing or a related discipline.
• At least 2 years of relevant experience in executive administration, secretarial support, sales coordination, trading administration or a related role.
• Proficient in English and Mandarin to communicate effectively with Mandarin-speaking clients, suppliers and business partners.
• Proficient in Microsoft Office applications, including Word, Excel and PowerPoint.
• Familiarity with AI tools and their practical applications in administrative and business-related tasks.
• Strong communication, interpersonal, organisational and time-management skills.
• Able to manage multiple priorities, work independently and meet deadlines effectively.
• Able to handle confidential business information with professionalism and discretion.
• Possesses a valid Class 3 driving licence.
• Willing to travel overseas and work flexible hours when required.
