About the Company

A well-established international ship management company is seeking a Fleet Coordinator to support its Ship Management Department. The company manages a fleet of vessels globally and is committed to operational excellence, safety, and efficiency in maritime operations.

Key Responsibilities

  • Coordinate communication between vessels, shore teams, suppliers, and subcontractors to ensure timely and cost-effective logistics arrangements
  • Arrange procurement of spare parts, ship services, stores, and lube oils as advised by Fleet/Superintendent team
  • Issue purchase orders, process invoices, and maintain accurate records and documentation
  • Monitor vessel operating budgets and support preparation of variance reports
  • Assist in preparation of vessel annual reports, docking reports, and other operational reports
  • Track vessel certificates and class survey status; follow upon renewals and compliance deadlines
  • Handle dispatch, tracking, and follow-up of vessel-related mail, courier items, and documents
  • Extract and circulate fleet performance and operational reports
  • Maintain quotation records, price comparisons, and vendor database
  • Support preparation of environmental and efficiency-related reports (e.g. emissions and energy management reporting)
  • Assist in implementation of company safety, quality, and environmental management systems
  • Provide general administrative and coordination support to Fleet Managers and Superintendents

Requirements

  • Diploma or Degree in Maritime Studies, Logistics, Supply Chain, Business, or related field
  • Prior experience in shipping, ship management, or maritime operations preferred
  • Experience in fleet coordination, logistics coordination, or similar administrative role is an advantage
  • Strong numerical ability with experience in reports, tracking, and data management
  • Detail-oriented, organized, and able to manage multiple tasks in a fast-paced environment
  • Good communication skills to liaise with internal teams and external stakeholders
  • Comfortable working in a structured operational and compliance-driven environment
