[What the role is]

The individual supports the administration and management of applied research activities across IP protection, licensing, Technology Transfer, and grants management. The role involves maintaining accurate IP records and filing documentation, supporting licensing and deal closure processes, coordinating grant submissions and post-award administration, and liaising with internal and external stakeholders on related financial, legal, and business matters. The individual also contributes to the department's digitalisation initiatives, data analytics, and broader administrative and project work.

[What you will be working on]

The individual will support the administration and management of applied research activities, spanning IP protection, IP management processes, licensing, and grants management. Key responsibilities include:
 

IP Management & Protection

  • Supporting the administration and reporting of applied research outputs, including patents and other forms of IP, in accordance with established processes and SOPs.
  • Performing IP-related searches and maintaining accurate filing records, registers, and repositories with proper version control.
  • Preparing standard IP-related documents such as NDAs, assignments, and confidentiality undertakings, and routing them for the necessary approvals.
  • Tracking filing deadlines, prosecution timelines, and patent expenses, and preparing utilisation reports for management review.
  • Escalating IP-related concerns such as novelty and confidentiality issues promptly to senior staff.
     

IP Licensing & Technology Transfer

  • Supporting licensing and Technology Transfer activities, including the preparation of standard collaterals and coordination of deal closure processes.
  • Maintaining an industry contacts database and opportunities pipeline, and providing support for IP marketing activities such as exhibitions, trade shows, workshops, and seminars.
  • Liaising with internal and external stakeholders on licensing and Technology Transfer matters, including financial, legal, and business aspects.
  • Handling billing processes and coordinating with external IP holders to facilitate payment for licensing deals.
     

Grants & Project Administration

  • Tracking funding calls and deadlines, sourcing relevant grant opportunities, and maintaining a grants calendar and pipeline tracker.
  • Performing basic eligibility screening for grant opportunities and coordinating post-award setup activities including project codes, reporting schedules, and document packs.
  • Working with NYP Schools and funding agencies on industry project submissions, grants administration, and Continuing Education and Training (CET) programmes.
  • Tracking and analysing data across grants management, funding utilisation, licensing activities, and other key performance indicators for reporting to relevant agencies.

General

  • Supporting the department's digitalisation initiatives and data analytics.
  • Providing broad administrative and management support across departmental functions.
  • Contributing to committees and cross-functional project work as required

[What we are looking for]

  • Meticulous and driven individual to support our Technology Transfer Office in managing end-to-end IP and grants administration.
  • Relevant qualifications in Engineering or Life Sciences, is comfortable working with data, and can manage multiple priorities in a fast-paced environment.
  • Strong team player with good communication and interpersonal skills, and be able to liaise effectively with a diverse range of internal and external stakeholders.
  • Proficiency in Microsoft Office applications is essential, and prior knowledge of IP, Technology Transfer, or grants management is preferred.
  • Experience in, or a demonstrated interest in, digitalisation and data analytics to drive improvements in work processes would be highly valued.
