JOBDESCRIPTION
•Responsible for collaborating with the therapeutic area (TA) teams to develop medical affairs programs and activities that align with the TA Medical Affairs strategy and objectives
•Responsible for project management, internal review and approval coordination, and logistical planning of digital, virtual and face-to-face Asia Pacific Regional Medical Affairs events, and in accordance with compliance guidelines
• Support TA teams with project budget planning and tracking (both Medical Affairs Integrated Evidence
MAIN ACTIVITIES/ TASKS:
Medical Program Development & Scientific Communications
•Collaborate with TA teams, and
o Support TAs with the development and planning of medical programs that are aligned with the strategy and medical education objectives based on the learning needs of target HCPs (Healthcare Professionals),
o Establish and track key milestones and performance metrics focused on program objectives
Project Management & Compliance
•Responsible for preparation, conduction, closure and reconciliation of Healthcare Compliance (HCC)-sensitive cross border medical activities
• Execute events and activities in compliance with regulatory guidelines and company policy
Together with TA project owner,
o Select & contract medical communication, production(including digital
production) and logistics agencies for each activity
o Manage stakeholder communications
•Coordinate, align and act as primary contact point with all external agencies (Medical
Communications, Logistics, production) involved in the project. For publication vendors only act as contact for contracting and invoicing.
• Align with colleagues on dissemination of materials and the localisation of regional events and handle logistic updates and communication
• Ensure review and approval of materials according to company policies and procedures
• Ensure effective execution of the event (virtual or onsite)
• Coordinate event wrap-up and evaluation including feedback forms
Educational Grant/Consultancy or speaker agreements management
• Working with the TA project owner, engage cross functionally (HCC, Legal, Privacy, Communications, IT, Regulatory/PV) to obtain the required approvals and documentation for submission
• Advise the TA project owner on local HCC requirements or specificities
• Ensure proper grant reconciliation process
• Closely work with the Project Admin Team to follow contract and payment Processes
Budget management
•Responsible for project budget planning, tracking and reporting of medical activities, grants and consultancy agreements
•Collaborate with finance team to update budget forecast in accordance with finance update cycles, escalating budget discrepancies as appropriate
• Follow-up with involved agencies their budget estimates and work with Project Admin Team for orders/contracts
• Request Purchase Order numbers and work closely with the Project Admin Team on invoices and reconciliations
Internal Regional Meeting Management
• Track and report impact metrics from regional TA events and activities to medical excellence team.
ESSENTIALKNOWLEDGE, SKILLS, AND EXPERIENCE
• Degree in any Science or related Field with minimum 2 years event planning and manage mentor related area, and preferably in pharmaceutical or healthcare industry experience
• Excellent project management skills
• A general understanding of healthcare compliance principles
•Flexibility for Regional travel as required on a project basis
