Personal Assistant to CEO / Business Operations Associate

We are a Singapore-based multi-entity platform involved in:

Brand and project development (IAAS)

Climate technology and energy infrastructure (Vulcan BioEnergy)

International technical collaboration and infrastructure deployment (Yuquan)

Family office and related investment activities

Our businesses are expanding across Singapore, Malaysia, Brunei, and other ASEAN markets.

We are seeking a proactive, highly organized, and execution-oriented individual to support the CEO in business operations, coordination, administration, and day-to-day execution across multiple companies and projects.

Role Overview

This role works closely with the CEO and management team to support operational coordination, administrative matters, project execution, and business activities across multiple entities.

The successful candidate will play an important role in supporting daily operations, improving processes, coordinating stakeholders, and ensuring smooth execution across various business functions.

Key Responsibilities

Executive & Administrative Support

·         Provide administrative and operational support to the CEO

·         Coordinate meetings, schedules, travel arrangements, and communications

·         Monitor follow-ups, action items, and ongoing business matters

·         Support administrative coordination related to business and operational activities

Business Operations & Administration

·         Support daily operations and administrative matters across multiple companies

·         Organize and maintain contracts, records, and business documentation

·         Assist with banking documentation, KYC processes, and corporate administration

·         Coordinate with external accountants, corporate secretaries, consultants, and service providers

·         Assist with invoicing, payment coordination, and basic financial administration

Coordination & Project Support

·         Support project tracking and cross-functional coordination activities

·         Assist with website, branding, and partnership-related execution

·         Coordinate with external vendors, consultants, and business partners

·         Assist in preparing presentations, proposals, reports, and business documents

Requirements

Mandatory

·         2–8 years of relevant working experience

·         Strong written and spoken English communication skills

·         Strong organizational skills and attention to detail

·         Ability to manage multiple priorities effectively

·        Comfortable working in a fast-moving and evolving environment

·         Strong sense of responsibility, initiative, and accountability

Preferred

·         Experience in startups, SMEs, or founder-led businesses

·         Experience in business operations, executive support, administration, or project coordination

·        Familiarity with Microsoft Office and Google Workspace

·         Basic understanding of finance, administration, and business operations

·         Exposure to cross-border coordination or ASEAN markets is an advantage

Compensation & Working Arrangement

Salary range: SGD 4,000 – 6,500 per month (depending on experience and qualifications)
