About the Role
SHE is seeking a proactive and organised individual who enjoys coordinating event operations behind the scenes, managing logistics, engaging stakeholders, and ensuring programmes are delivered efficiently and professionally. The ideal candidate is detail-oriented, dependable, resourceful, and adaptable, with the ability to respond calmly to evolving needs in a fast-paced environment. This role is well suited to someone who is hands-on, willing to go the extra mile when needed, and able to support occasional after-hours or weekend events and engagements.

Key Responsibilities

Programme & Event Coordination

  • Support the planning and execution of programmes, workshops, campaigns, community engagements, and events
  • Coordinate event logistics, including venue bookings, equipment setup, catering, transport, and materials preparation
  • Manage event registration, attendance tracking, and participant communications
  • Provide onsite support to facilitators, speakers, volunteers, and partners during programme delivery
  • Ensure smooth event operations and troubleshoot logistical issues as needed
  • Support event setup, teardown, and post-event follow-up activities

Administrative & Operational Support

  • Maintain programme calendars, schedules, databases, and documentation
  • Prepare purchase requests, quotations, invoices, and claims as required
  • Liaise with vendors, venues, and external stakeholders (e.g. schools, corporate partners) to coordinate programme and event requirements
  • Support inventory management for programme and event materials
  • Assist in preparing reports, programme statistics, and post-event documentation

Stakeholder & Participant Engagement

  • Respond to participant queries in a professional and timely manner
  • Coordinate communications with partners, volunteers, and collaborators
  • Support outreach and engagement efforts for programmes and events

General Support

  • Provide administrative and operational support to the wider team as needed
  • Support occasional evening or weekend programmes and events as required

Requirements

  • Diploma in Business, Events Management, Community Services, Social Sciences, Communications, or a related field
  • 1–3 years of relevant experience in programme coordination, events, administration, or operations is preferred
  • Fresh graduates with events management/organisation experience are also encouraged to apply
  • Strong organisational and multitasking skills
  • Good written and verbal communication skills
  • Proficiency in Microsoft Office and workplace tools, with openness to learning and using AI and design tools to support programme coordination, communications, and event operations
  • Ability to work independently while collaborating effectively within a team
  • Comfortable working in dynamic and fast-paced environments
