Job Summary

The Genesis Fund Services Corporate Administrator plays a key role in client onboarding and compliance within the Corporate and Registry section. This role ensures regulatory adherence, manages due diligence, and maintains statutory requirements for entities under GFS management.

Responsibilities

• Lead the onboarding process for new clients, ensuring a smooth and compliant experience
• Assist in completing Genesis Corporate Service Account Applications accurately and timely
• Collect and verify due diligence information for new business to maintain compliance standards
• File new business documents and follow up on submissions with relevant authorities
• Incorporate companies by reserving company names and preparing or updating constitutive documents and offering memoranda
• Draft and prepare standard ancillary fund documents such as administration, custodian, and advisory agreements
• Prepare and submit documents to the Registrar General’s Department, including cover letters and communications as needed
• Order corporate seals and establish corporate file suites for new companies
• License funds by preparing certificates and filing required documents with regulators, including the Securities Commission of The Bahamas
• Follow up on regulatory submissions and assist with new bank account forms and external account setups like Bloomberg
• Prepare and dispatch general correspondence and documents for filing or delivery
• Maintain the Corporate Database and Genesis Client Log with complete and accurate contact, directorship, beneficial ownership, fees, and other details
• Coordinate with Operations to manage Corporate Clients Recharge and ensure timely payment of annual government fees
• Scan, upload, and file final corporate documents both digitally and physically, including constitutive documents and agreements
• Prepare basic resolutions based on fund particulars such as early redemptions and minimum subscriptions
• Manage company liquidations in accordance with procedures and Articles of Association
• Monitor pending items and escalate issues to management for resolution
• Stay updated on local and international legislative and industry regulations through continuous professional education and self-study
• Protect and enhance the company’s reputation by identifying and addressing potential risks
• Escalate unusual or complex issues to management for discussion and resolution
• Support other Corporate Services Department functions as required

Preferred competencies and qualifications

• Bachelor of Law Degree or equivalent
• Corporate designation
• Strong knowledge of laws governing corporate structures and filing requirements in Singapore, The Bahamas, and other relevant jurisdictions
• Fluent and comprehensive knowledge of fund administration business
• Strong written and verbal communication skills, including technical writing
• Strong organizational and reporting skills linked to managing regulatory and client documentation
• Good interpersonal skills to liaise effectively with clients and internal teams
